An overview of BYU's comprehensive professional development database

Why Use a Database?

A faculty developer's priority is helping faculty, not administering programs, but administration takes a lot of time! A well-built database is the best solution for effectively tracking and using data needed for faculty development. Currently, most faculty developers are using assorted low-tech tools to organize and administer programs. While useful, these tools are extremely limited. They don't provide the power of cutting-edge software applications.

The Faculty Center Professional Development Database was created to serve the on-going administrative needs of the Center. We estimate that use of this database reduces the amount of time it takes to accomplish administrative tasks by 30-90% (depending on the task). This database is comprehensive in design for BYU's needs, but it would not necessarily meet all the needs of other faculty development centers, as each center is unique.

Design and Development

This database was created using FileMaker Pro, a powerful and user-friendly software program. The design and development of a database of this scope using FileMaker Pro would require approximately six months of full-time work (depending on the skill level of the developer). Not every faculty development center has the resources or desire to develop a comprehensive system. Developing a system narrower in scope can drastically cut the development time.

FileMaker Pro (and similar programs) are very flexible and can be used to build almost any desired product to deal with almost any conceivable data need of a faculty development center. The possibilities are endless, but our time and resources are not. It is hoped that this website can assist many other faculty development centers in developing or improving their own faculty development databases. The rest of this page outlines, in some detail, the variety of things that a good professional development database can help do.

    Client Data



    Better understand your clientele individually and as a whole. You can also easily access each person's or group's involvement with the center.

    Client data includes:
    • Names
    • Photos
    • Contact Info
    • Demographics
    • Rank & Status

    • Person's Expertise
    • Person's Past History with the faculty development center

    Unit Data



    Access information about each unit across campus to help you communicate with them and support them better.

    Unit data includes:
    • Name(s) of unit (Full and abbreviated names)
    • Unit Organization (The units that this unit reports to, the units that report to this unit)
    • Contact data (Phone and Fax number, Address, Email, URL)
    • Historical Notes (Additional useful data about the unit)
    • Name and detailed information about each person in the unit (the person in charge of the unit, the unit secretary, and all members of the unit)
    • Detailed information about the involvement of members of the unit with the center (who in this unit has done what; what are trends over time)

    Event Data



    Locate both comprehensive and detailed data about each activity; know exactly what you have done, when, and for whom. You can also use the data gathered to more effectively analyze and evaluate the effectiveness of what the center is doing.

    Event data includes:
    • Data about the activity (Name, Type of Activity, Dates, Times, Locations, Audience, Purpose, Description, History Data, URL, Publicity, Media and Handouts, Evaluation data, Cost, Innovations, Future Plans)
    • Detailed data about the people involved in the activity (faculty development center administrators, co-sponsors, student assistants, presenters, participants)
    • Activity Statistics (Number of people invited, Number of active participants, Cost)
    • Create Reports (Create reports for administrators and others that clearly demonstrate the work the center is doing)

    Development Programs



    Effectively organize data on presenters, participants, handouts, media, interactions, etc. Improve your ability to keep each program on track, from its initial design through the final evaluation.

    With development programs data, you can:

    • Track all data on Presenters (Detailed Contact/Demographic Data, Invitation Data, RSVP Data, Presentation Title, Media, Handouts, Food RSVP, Notes, Detailed Evaluation Data, Thank You Notes, Data on every contact with the Presenter)
    • Track all data on Participants (Detailed Contact/Demographic Data, Invitation Data, RSVP Data, Detailed Attendance/Participation Data, Data relevant to the particular activity, Data on every contact with the Participant)
    • Track Tasks and To Do Lists (Created and assign tasks to individuals and monitor the completion of items)

    Demonstrate Impact



    Provide information to any unit or individual to document the work of the unit and demonstrate the center's impact. You can also use accurate data to provide evidence of resources well-used or to request further resources.

    For example, an individual faculty member could request a printout that included a list of all the activities that person participated in.

    Customized Materials



    Save hundreds of hours every year by quickly and easily generating materials straight from the database.

    Customized materials can include:

    • Customized E-mails (Unlimited ability to customize)

    • Faxes (Addressed to People or Units)
    • Letters (Plain letters, Letterhead letters, Memos, etc. Letters can be saved and reused over and over again)

    • Photo Directories (Create a photo directory of any list of participants or people)

    Locate Data



    Quickly find answers to both simple and complex questions about any current or past activities, people, or units.

    For instance, you can locate data about:

    People -
    All female faculty in a certain unit
    All associate professors promoted within the past five years
    All faculty members who have expertise in "active learning"
    All new faculty hired in the past 2 years
    The average age of assistant professors
    All department chairs
    All non-tenure-track faculty

    Units -
    All units that report to a certain unit
    All units with more than 30 faculty members
    Email addresses for all department secretaries
    Phone numbers for all college deans
    URL for all departments in a certain college

    Activities -
    All activities that target new faculty
    All activities designed to help faculty with their scholarship
    All activities that occurred during a certain year
    The 10 activities that drew the most participants

    Presenters -
    All the presenters for a certain activity that have confirmed participation
    The number of presenters who plan to eat lunch
    The media needs for all presenters
    A list of departments represented by the presenters
    All the data needed to be printed in the program for each presenter

    Participants -
    Which people have RSVP'ed for the activity
    How many participants are male or female
    Who has no-showed most of the activities and needs to be reminded

    Administrators -
    Contact data about all the administrators and co-sponsors for each event

    Eliminate Redundant Data



    Enter the correct data only once, and have it available to every member of the center for every project or activity. You only have to get it right once, and then you can rely on accurate data at your fingertips. You can increase the speed and accuracy of data thought using drop-down menus and "data validation."

    There are plenty of other uses for a database not listed above. Some other valuables uses are to:

    Keep track of other useful data (Appointments, Conference Room Scheduling, Account Codes, Inventory, Library, Student Employees)

    Access and use database over the Internet (If your system is on-line, you can access it through any web browser)

    Allow clients to register and manage their participation in the center's activities (Register, check registration, delete registration, etc.)

    Generate Reports (Demographic reports, Annual reports [generate a summary of everything your faculty development center has done during the past year with the click of a button!], Usage reports [By college, department, or person])

    Keep track of how much time each center staff member spends on each of the center's activities (any level of detail is possible)
